1. General

• These Terms and Conditions apply to all bookings made with Reon’s Tours & Safaris. By booking a tour, you agree to these terms and conditions. Please read them carefully.

2. Booking & Payment

• A confirmed booking is subject to availability and receipt of the required deposit or full payment.
• A Non-Refundable deposit of 20% is required at the time of booking to secure your reservation. The remaining balance is due 90 Days before the departure date.
• The 20% deposit is applied to the total amount and cannot be transferred to a different tour.
• Payments can be made via bank transfer and credit card.
• Prices are quoted in Namibian Dollar and are subject to change until the booking is confirmed.
• The Company reserves the right to cancel a booking if the payment is not received by the due date.
• All rates are calculated inclusive of VAT where applicable
• Reon’s Tours reserves the right to adjust prices, on expiry of any period of validity of a price schedule/quote issued by the Business, by way of a revised price schedule/quote, in accordance with, e.g. increases in airfares, hotel rates, transport costs and currency
  fluctuations.

Reservation Process:

• Upon receiving a booking request (via telephone, email, or the Business’s web-enabled booking system), the Business will forward a written quotation.
• Once the Business confirms the booking, a binding contract is formed under the terms and conditions set out in the booking confirmation and relevant pricing schedule or brochure.
• The customer is liable for the tour price as confirmed by the Business and any price increases resulting from changes in the rate of exchange.
• Pricing and availability are subject to change until the booking is confirmed and the non-refundable deposit is paid.
• The deposit is used to secure services such as flights and ground services.
• The booking confirmation and/or quote are subject to changes in the number of passengers, travel dates, and durations of services. Any changes will be subject to availability, and the Business reserves the right to adjust the booking cost accordingly.
• The quotation or booking confirmation will only cover the specified services, and any additional costs (such as for visas, airport taxes, or extra services not specified) will be the responsibility of the customer and may incur additional charges.

3. Cancellations & Refunds

• If you cancel your booking more than 2 weeks/14 days before the tour departure, you will receive a 10% refund of your total booking amount, excluding 20% Deposit.
• Cancellations made within 7 days of the tour departure are non-refundable.
• If the Company cancels a tour due to unforeseen circumstances, a full refund will be issued, or you may be offered an alternative date or tour.

4. Amendments to Bookings

• Amendments to bookings (such as changes to tour dates or participant details) can be made subject to availability and will incur a fee of NAD1000.
• The Company is not responsible for any changes made by external service providers, including accommodation or transportation.

5. Travel Insurance

• We strongly recommend that all clients purchase comprehensive travel insurance, including coverage for cancellations, medical emergencies, and lost luggage.
• It is the traveler’s responsibility to ensure that their travel insurance covers all aspects of the tour, including adventure activities.

6. Passports and Visas

• The responsibility to obtain a valid passport is that of the client alone. Passports must be valid for at least 6 months beyond the date of departure and must not expire within 3 months of the planned tour departure date.
• The Company will assist with your visa application when and if required for specific destinations. However, the final responsibility for ensuring all necessary travel documents (passport, visa, etc.) are in order rests with the traveler.

7. Flights and Airport Pickup

• Flights to and from the tour destination are not included in the tour price. Clients are responsible for booking their own flights.
• Upon arrival, the Company will meet you at Hosea Kutako International Airport in Windhoek (or the relevant airport for your tour). A representative will be there to greet you and transport you to your accommodation or tour starting point.
• Please provide your flight details to the Company at least 7 prior to departure so we can ensure a smooth airport pickup process.

8. Liability & Responsibility

• The Company is not liable for any injuries, losses, or damages occurring during the tour, except as required by applicable law.
• The Company is not responsible for any personal items lost or stolen during the tour.
• The Company reserves the right to refuse participation to anyone who is deemed unfit for travel, or whose behavior threatens the safety or enjoyment of others.

9. Tour Itinerary & Changes

• While we make every effort to adhere to the advertised itinerary, the Company reserves the right to alter the schedule or route at any time due to unforeseen circumstances such as weather, safety, or operational requirements.
• If changes occur, the Company will notify travelers as soon as possible, and any major changes will be communicated before the start of the tour.
• All Tours subject to a minimum group size, and the company reserves the right to cancel or reschedule the tour if the minimum number of participants is not met. In such cases, participants will be given the option for a refund or rescheduled dates.

10. Health & Fitness

• Travelers are responsible for ensuring that they are physically and mentally fit to participate in the tour. Any health conditions or concerns should be disclosed to the Company at the time of booking.
• Some tours may require a medical certificate or special fitness requirements, especially for more physically demanding activities.

11. Force Majeure

• The Company will not be liable for failure to perform its obligations if the failure is due to events beyond our control, including but not limited to acts of God, strikes, weather, civil unrest, or other unforeseen circumstances.

12. Participant Conduct

• All participants are expected to behave in a respectful manner toward fellow travelers, guides, and local communities. The Company reserves the right to remove any participant from the tour who engages in behavior that is disruptive or harmful to others or to the tour’s progress.
• No refunds will be issued for clients removed from the tour due to misconduct.

13. Personal Data

• The Company will collect and store personal data in accordance with applicable privacy laws. This information is necessary for booking and operating tours, and may be shared with third parties involved in the provision of services (e.g., accommodations, transport providers).

14. Governing Law & Dispute Resolution

• These Terms and Conditions are governed by the laws of Namibia.
• Any disputes will be resolved through mediation and arbitration before being brought to court.

15. Fish River Canyon Terms & Conditions

• Assumption of Risk: All participants acknowledge the inherent risks involved in hiking the Fish River Canyon, including physical exertion, environmental hazards, and limited access to emergency services. By booking this tour, participants accept full responsibility for their safety during the hike.
• Fitness and Health Responsibility: Participants must ensure they meet the minimum physical fitness requirements and disclose any relevant health conditions. The company reserves the right to deny participation to individuals deemed unfit for the hike.
• Medical Evacuation Costs: In the event of a medical emergency requiring evacuation, participants are solely responsible for the associated costs unless covered by medical aid or insurance. The company is not liable for any costs related to medical emergencies.
• Liability Waiver: All participants are required to sign a waiver acknowledging that the company is not liable for any injury, loss, or damage that occurs during the hike. This includes injuries sustained from natural terrain, environmental conditions, or personal negligence.
• Travel Insurance Requirement: It is mandatory for all participants to have comprehensive travel insurance that includes medical evacuation coverage. The company recommends travelers to ensure their insurance covers hiking and wilderness activities.

16. Acknowledgment

• By making a booking, you confirm that you have read and agree to the Terms and Conditions outlined above. You also acknowledge that you understand the nature of the tour and accept responsibility for your participation.
